Getting started with SourcePro
What SourcePro does, who does what in it, and how to sign in for the first time.
SourcePro runs a company's buying, from the purchase request a plant raises to the purchase order (PO) a vendor accepts. Every step is recorded: who did what, when, and why.
The buying cycle in one picture
| Step | Who | Where in SourcePro |
|---|---|---|
| 1. A plant needs something | Requester, or SAP's open requests imported | Requests |
| 2. The buyer accepts the lines and packs them | Buyer | Requests → Packets |
| 3. Vendors are asked for prices | Buyer | RFQs |
| 4. Quotations come in and are compared | Buyer | RFQs → Comparative statement |
| 5. The award is decided and approved | Buyer, then the approvers | Award, Tasks |
| 6. The PO is issued and the vendor answers | Buyer, the vendor | Orders, the vendor's email link |
Your company's site
Each company has its own web address, for example https://yourcompany.sourcepro…. Vendors use the vendor portal (vendors.…) and SourcePro's team the admin site (admin.…).
Signing in
- Your company admin invites you: an email arrives with a link.
- Open it and choose a password: at least 10 characters, not a common one.
- Sign in with your email and password. On a new computer or phone, SourcePro also emails you a sign-in code: type it to finish. Your company decides how often codes are asked (Settings → Rules).
- Forgot your password? On the sign-in page: Forgot password, and follow the email.
Your sessions: the name at the bottom of the sidebar → Your sessions lists where you are signed in; sign out any of them. Under it, Your sign-ins lists every time you signed in (when, from which browser and network address, how you proved it was you, and how that session ended) for as many days as the privacy policy keeps these records (365 unless it says otherwise). Your company's admin can read the sign-ins to its own site, and each reading is recorded; SourcePro's Super admins can read those of SourcePro's staff to the admin site. Nobody else can. Under the sign-ins, Tries that did not get in lists each wrong password or wrong emailed code on your account, and why: if you see one you did not make, change your password. A try at an address that has no account is not recorded. A session ends by itself after a time without use. If it ends while you are typing in a form, sign in again and the page comes back with what you typed (a "Welcome back" note says so; Start again clears it). It is kept in your browser only, for an hour unless your company changes it (Settings → Rules → Forms), and never for passwords or bank details. Signing out yourself keeps nothing.
My data: the name at the bottom of the sidebar → My data downloads what SourcePro keeps about you (your details, where you signed in, what you confirmed, what you asked; never a password) and lets you ask SourcePro, or a company you work for, to show, correct or delete your data, or to hear a complaint. Each request has a day by which it is answered (30 days unless the company or SourcePro sets another); the answer, with its reason, comes by email. When you accept an invitation or register a company, you are asked to confirm that you have read the privacy notice.
Security and help: the links at the bottom of every page (Security, Help, with the version you are using) lead to how SourcePro protects your data, where to report a weakness, and these guides.
Roles
| Role | What it is for |
|---|---|
| Company admin | Users, locations, rules, approvals, branding, audit, the company's data |
| Buyer | Requests, RFQs, quotations, awards, POs, vendors, materials |
| Requester | Raises purchase requests and follows them |
| Technical reviewer | Gives technical verdicts on quotations when asked |
| Viewer | Reads, changes nothing |
A person can hold several roles. Who approves is set separately, by approval policies (see Approvals).
Finding your way
- Home shows what waits for you: a number on every card, each opening the list behind it.
- Tasks holds what waits for your decision.
- The bell (top of the sidebar) tells you when something changed for you; emails say the same.
- What's new (bottom of the sidebar) has SourcePro's news.
- The sidebar folds to its icons with Collapse, and opens again with Expand.
- A colleague's name (a buyer on an RFQ, a requester, someone in Settings): rest the mouse on it to see who they are, their roles, what they approve and whether they are away; click it for their profile with everything their roles let them do.
- Every window has a close button (×) at its top right; Esc closes it too.
When something cannot be done, the page says why in plain words. Each message also has a code: the error codes page explains every one.
