Settings for company admins

Where to find every setting, and what is in them: users and seats, locations and holidays, departments, rules, numbering, branding, documents, terms, attributes, approvals, AI, automation, help, chat reports, audit, your data and SourcePro support.

Settings is the company admin's. It opens on a page of cards, one for each part of your settings, in groups of what they are about: People, Rules and approvals, Look and documents, Chat and AI, and Data and security. You see only the cards you may use.

Find a setting at the top looks for a few words (for example *reminder*, *logo* or *keep chat messages*) among the pages and, if you may change the rules, among the single rules: a rule you pick opens its group on the Rules page with the rule marked. On a wide screen every page has the same menu on its left, in the same groups; on a phone or a narrow window, the Settings link above a page's title takes you back to the cards.

UsersInvite people (email, name, roles); change roles; deactivate someone who left (their sessions end at once). Seats: how many your plan allows, and ask for more
People (a colleague's page, from Users)Sign-ins: when, from where and with which browser a colleague signed in to your company's site, and the tries on their account that did not get in (wrong password, wrong code), the newest first, for the days the privacy policy keeps them. Only your site's, never another company's; each reading is recorded, and the person is told in their own sign-in history that you can. Only the company admin
LocationsPlants, offices and warehouses: code, name, delivery address, GSTIN (its state comes with it), working days and holidays (reminders and due dates count working days)
DepartmentsFor requests and reports
AISwitch the assistant on, see this month's credits and use, set budgets, read the conversations (each opening of someone else's is recorded), and set the assistant's name, marks and how long conversations are kept. See *The assistant*
AutomationWhat the system drafts for your people (today: the PO drafted when a request line is ordered from a rate contract) and what they did with it: issued as drafted, changed first, or cancelled, with the share issued as drafted over the last runs. See *Automation*
HelpWho answers when someone in your company asks for help (every admin, and the colleagues you name), and the rules for it: whether people may ask a colleague, what a request carries, emails, and when an answered request closes. See *Asking for help*
Chat reportsThe messages your people reported in chat, each as that one message only, with who wrote it, who reported it and why. Mark one dealt with when you have acted on it. See *Team chat*
RulesEvery rule of how your company buys, grouped, with Find a rule: reminders, sign-in codes, vendor documents asked, comparative statement rules, RFQ email way, how long chat is kept, and more. Each shows SourcePro's value and yours; Reset goes back to SourcePro's
NumberingThe pattern of each document's number (requests, packets, RFQs, POs): prefix, location, financial year, sequence
BrandingYour logo, colour, and the sign-in page's picture and words
DocumentsThe layout of your comparative statement and PO (columns, words, logo), with a preview; versions are kept
TermsYour standard terms for RFQs and POs
AttributesWhat your company keeps about what it buys (the grade, the heat number, the IP rating): define your own, or add a ready-made pack such as Steel or Electrical. See *Materials*
ApprovalsApproval roles and policies (see Approvals)
AuditEvery change, who and when (see Reports)
Your dataPrepare a download: everything your company keeps, in one zip (tables and documents). Below it, People's requests about their data: people who work here, or speak for a vendor, may ask you to show, correct or delete what you keep about them, or to hear a complaint; Answer each by the day shown (rule *Answer people's requests within*) and the person is told by email
SourcePro supportWho at SourcePro may look at your data (by screen-share only, when you ask), and every time they did

The first company admin accepts SourcePro's terms for the company on first sign-in. The Privacy, Terms and Cookies pages are linked at the bottom of every page.

Leaving SourcePro

When a company leaves, its site closes; its data is kept for the period the privacy policy says, then erased. Download everything first (Your data).
