Requests and packets
Raise or import purchase requests, accept, hold or reject their lines, and pack them for an RFQ.
A purchase request says what a plant needs, how much, and by when. Each of its lines is decided on its own by a buyer.
Raising a request (requesters)
Requests → New request: the plant (or office) and department, the date it is needed by, and the lines: a material from the catalogue (its unit comes with it) or goods described in words, with the quantity. Send request. You see its progress under My requests, and the bell tells you when a line is accepted or rejected, with the reason.
Importing SAP's open requests (buyers)
Requests → Import from SAP → choose SAP's ME5A export (.xlsx) → Check the file. Every line is checked against your materials, plants and units before anything is saved:
- New lines will be added; Changes update lines imported before; Already there do nothing; Need a fix say why (an unknown material or plant, a deleted line).
- Column names your SAP uses differently can be matched once (Match the columns); SourcePro remembers them.
Then Import. Requesters named in SAP's file are linked to people in SourcePro when their names match.
Deciding lines
Requests lists the lines waiting. Tick one or many, then:

| Accept | The line is ready to buy; the requester is told |
| Hold | Paused, with a reason (waiting for a drawing, a budget); reopen it later |
| Reject | Ends the line, with a reason the requester sees |
| Reopen | A held or rejected line comes back to be decided |
When some of the ticked lines cannot move, the page names them and why; the others move.
Packets
A packet groups accepted lines that will be bought together, from the same vendors. Tick accepted lines → Add to packet → Make packet. SourcePro proposes groupings by material category and plant; you decide. Open packets are under Requests → Packets; from a packet, Make RFQ.
Rules your company sets (Settings → Rules)
How long lines may wait, whether requesters see prices, the request number pattern (Settings → Numbering), and more. Every rule is the company's own.
